DriveFlow holds business records: your cars, your customers, your rentals and your money. This page says what that means in practice, in plain language.

Who runs DriveFlow

DriveFlow is run by KLABS Ventures LLC, a business based in the United States, in Albuquerque, New Mexico.

You can reach a person at hello@usedriveflow.com. A real person reads it.

What we hold

Only what running your rental business needs:

  • Your account: the email address you sign in with, and your name if you give it.
  • Your business: cars and their photos, rates and deposits, documents and their expiry dates, customers, rentals, payments, expenses, receipts and signed agreements.
  • Your team: the people you invite, their email addresses and the roles you give them.
  • Your plan: which plan your business is on and the date it runs to. For a subscription bought through Apple, we keep the transaction number Apple gives us so we can match renewals and refunds to your business.
  • Your phone: if you allow notifications, a token that lets us send alerts to that phone. It is not used for anything else.

Your data belongs to your business

Every record is scoped to the business it was created in, and the database itself enforces that rule, not only the app. Your staff see only the business they were invited to, and only what their roles allow.

We do not sell your data. We do not use it to market anything. We do not read your records except to fix a problem you have asked us about.

DriveFlow has no advertising and no analytics tools, and it does not track you across other apps or sites.

Your renters’ details

The names, phone numbers, addresses, licence and ID numbers, nationality and dates of birth you record about renters are stored for you. You decide what to collect and why, so you are the one who needs a lawful reason to collect it where you operate. We keep it for you and do nothing else with it.

A renter never needs an account or the app. Three kinds of link open in an ordinary browser:

  • The booking page. A renter sends a request with their name, phone number, dates, the car they want and, if you offer delivery, the delivery area. Nothing is charged there.
  • The details link. You send it to a renter and they fill in their own licence, ID and address. It works once and then stops, and it expires if it is not used.
  • The location link, described below.

Every agreement carries a short address in its footer. Anyone holding the paper copy can type it in to check that a record exists and when it was signed. The page shows nothing else: no name, no car, no price.

Location

DriveFlow does not track cars or people in the background and has no GPS of its own. The only position it ever receives is the one a renter chooses to send by tapping a link you gave them. That single position is attached to the rental. Nothing keeps running after they close the page.

Where it is stored, and who helps us

Your data is stored with Supabase, our database host. The project is hosted in Sydney, Australia.

We use a small number of other services to run DriveFlow:

  • Supabase, to store your records and your sign-in.
  • Resend, to send sign-in codes and staff invitations. The emails come from mail.usedriveflow.com, and Resend sees the address it is sending to and the message.
  • Apple, to take payment for subscriptions bought in the iPhone app through In-App Purchase, and to deliver push notifications.
  • Commas, to take payment for subscriptions bought on the web.

Reminders for overdue returns and expiring documents are created on your own phone, from data already there.

Payments and billing

Every new account gets 30 days of the Growth plan with no card. A subscription bought in the iPhone app is paid to Apple through In-App Purchase, and one bought on the web is paid through Commas. We see which plan a business has and until when. We never see or store card numbers.

DriveFlow does not take payments from your renters. The cash and transfers you record are records you keep, not money we handle.

To cancel a subscription bought in the app: on your iPhone open Settings, tap your name, tap Subscriptions, choose DriveFlow and tap Cancel Subscription. In the app, More, then Plan, then Manage or cancel in the App Store opens the same place. Cancelling stops the next renewal; the plan runs to the end of the period you paid for.

Keeping, exporting and deleting

Nothing is deleted when you move to a smaller plan. Cars over the limit become read-only and stay searchable and exportable. Archiving a car or a customer never destroys the financial records attached to them, because those are your books.

You can export your money records as a PDF or a CSV from the Money screen whenever you like.

You can delete your account yourself, in the app: More, then Delete my account. You confirm by typing DELETE. If you are the only owner and other people still work in the business, you are asked to hand it over or remove them first.

When you delete your account, your sign-in and your profile are removed. A business where you were the only member is closed, and its records are kept for 7 years and then deleted, because they are your books and may be needed for tax or a dispute. A business that other people belong to carries on without you. Backups keep a copy for up to 7 days more.

If you would rather we do it, or you cannot get into the app, write to hello@usedriveflow.com.

Your rights and your questions

You can ask us what we hold about you, ask us to correct it, or ask us to delete it. Write to hello@usedriveflow.com.

Changes to this page

When something material changes, we will say so in the app or by email before it takes effect, with 30 days of notice.
